Follow this Checklist to Successfully Prepare your ClearlyRated Contact List
Step 1: Pull Your Contact List From Your CRM/ATS Database
- Since every company has a different system for managing their contacts' information, ClearlyRated can't offer specific directions for this step. We recommend talking to your CRM administrator or IT support if you need assistance.
- Who to survey? Your Getting Started Packet covers who you'll need to include in your list.
- What info is needed per contact? Your Getting Started Packet includes a contact list template that outlines exactly what contact information you must include. ⚠️ USING THE CLEARLYRATED CONTACT LIST TEMPLATE IS CRITICAL TO SUCCESS.
Step 2: Format Your Contact List
- Contact list headers are very important! It's very likely the header from the list you exported from your systems (CRM/ATS) will align with what's needed to successfully upload your contact list within the ClearlyRated dashboard. That's okay! Look at the ClearlyRated contact list template in your Getting Started Packet and adjust the headers on your list to match the headers on the ClearlyRated contact list template. Make sure you adjust your headers to match the template in your Getting Started Packet. For example, "first name" will need to be changed to "contact_fname"
- Include all your brands and location/office names. Double check that you have included all your companies' brands in the 'brand' column and all your location/office names in the 'location' column per contact.
- All contacts in ONE list: If you have multiple lists of contacts, you must combine them into one. Don't worry about having duplicate contacts in your list, our system fixes them when you upload your contact list in the ClearlyRated dashboard.

Step 3: Check the Details In Your List, This Info is Used to Personalize Your Survey Invitation
- Separate columns for contacts first & last name: Your contact's first name and last name must be in separate columns (column headers: contact_fname & contact_lname). The email invitation sent to your survey recipients is personalized and pulls your contact's first name from this list. To garner a high response rate this personalization is very important. The email invitation should read "Hi Jane" instead of "Hi Jane Doe". You can see the email invitation template in your Getting Started Packet.
- Format names for capitalization. The Clearlyrated Dashboard will format the columns contact_fname & contact_lname for capitalization. But, if you have your contact's company name listed in this column, ClearlyRated cannot catch this. Closely examination your contact_fname & contact_lname columns so you don't send a survey invitation that says "Dear Yum Yum Frozen Yogurt"
- Perfectly Format Your Email_Signature_Name & Email_Signature_Title. This information gets pulled into your survey email invitation as the person who signs the email (ignore this step for employee audience surveys which are signed by ClearlyRated's CEO.) Double check that your Email_Signature_Name and Email_Signature_Title columns look exactly as you would like them to appear in the email invitation to your recipients.
- Brand is YOUR company/brand name: This column must be complete and is used in your survey email invitation too. You will likely need to manually add this column to your contact list as it typically doesn't pull from your CRM.

Step 4: Save Your List As a CSV File!
- You can do this by clicking "Save As" and then in the file format box selecting Comma Separated Value (.csv).
- That's it! You're ready to upload the list in your ClearlyRated Dashboard. Our uploader will walk you through the remaining steps when you upload your contact list!
Step 5: Setup Users & Notifications
- With your list uploaded, now it's the time to ensure your team is setup with dashboard access and/or email notifications.
- Follow this guide ahead of your survey launch to make it a seamless experience. Have no fear, you can always add/remove/update as the survey is fielding as well!
